Invoice Checkbox

The Invoice Checkbox Project introduces a new feature designed to streamline post-invoice workflow. The primary objective of this project is to introduce two new columns to the service overview:

1. Invoice (Confirmed by PM) – A checkbox column to confirm invoicing.

2. Comments – A text field to add additional information.

These features enable project managers (PMs) to easily confirm invoice statuses and add relevant notes after issuing invoices.

Note: All users who have access to Project > services will be able to see this new checkbox

1. Added New Columns: Invoice (Confirmed by PM) & Comments

• Invoice (Confirmed by PM): A checkbox column to confirm invoicing for services/packages.

• Comments: A 50-character text field to add notes or context for each service/package.

• These columns will not be the default; instead, they will be available as a filter option in the "Show/Hide Columns" menu. Users can enable these columns to gain visibility.

2. Invoice Confirmation Workflow

• After issuing an invoice, PMs can navigate to the Service Overview to:

o Mark services/packages as invoiced using the checkbox.

o Add comments for any additional details.

• These checkbox and comment fields are also available in the Edit Service/Package > Settings screen, ensuring consistency and flexibility.

3. Bulk Management for Services/Packages

• Quickly select or deselect multiple services/packages using the bulk checkbox functionality.

Associated packages must be selected first to enable bulk actions for their services.

4. Consistent Updates Across Views

• Any changes made in the Service Overview or Edit Service/Package > Settings screen are automatically synced for a seamless experience.

5. Deletion Restriction for Confirmed Services/Packages

• Services/packages with the Invoice (Confirmed by PM) checkbox ticked cannot be deleted.

• Attempting to delete these items triggers an alert:

“This service cannot be deleted as the invoice is confirmed by PM.”

6. History & Tracking

• All updates to the Invoice (Confirmed by PM) checkbox and comments are logged with action details, timestamps, and user information, ensuring accountability.

7. Visual Indicators

• A red tick icon appears next to services/packages with the Invoice (Confirmed by PM) checkbox enabled, providing a clear visual cue for confirmed services/packages.

8. Export Enhancements

• Export reports now include the Invoice (Confirmed by PM) and Comments columns, offering a comprehensive view of project data.

9. Copy Feature

• Copying Services/Packages:

o When copying a service or package from one project to another, within a project, or to another project program, the Invoice (Confirmed by PM) checkbox will not be copied.

o The Comments field will also be cleared, allowing for customization.

• Saving Templates:

o When saving a project or program as a template, the Invoice (Confirmed by PM) checkbox and comments will not retain the same status to ensure the template remains adaptable.

Enhancements in Calendar

  1. All-day event

    When creating an all-day event, the system now displays the title “Add All-Day Event” or “Edit All-Day Event” as applicable, with default time tracking set to 0 hours. All-day events linked to projects will not appear on the project task board but will be included in reports. Similarly, for All-day tasks also.

  2. Changes in Calendar side grid

    Users can now drag tasks from the side grid and drop them onto the calendar or all-day event grid.

    When a task is dropped onto the all-day event grid, the time tracked will default to 0 hours. If the task is dropped onto the calendar grid, it will display the start and end times corresponding to the selected time period.

    Note: All users whose role settings grant access to the Calendar module can see these changes.

    Program Module - Enhancements

    Improve user efficiency, visibility, and data accuracy in the Meetingbox platform. They will simplify project searches, highlight inactive programs, streamline date adjustments, and make copying programs and services easier. Additionally, reports will be more accurate, and a history tab will track changes, helping users manage projects more effectively and reduce errors.

    Note: These changes will be visible for all instances where the Program module is enabled.

    1. Visual Highlighting for Inactive Programs

    When users navigate to Projects > Services, inactive programs will be highlighted in Red (#ff6e64) for improved identification.

    2. Search functionality

    Users can now search by the Project name also while copying a service/package to another project. Users can now enter any part of a project name in the search field, and the system will display matching results, showing both the project name and project number. Additionally, a "No results found" message will be displayed if no matches are found.

  3. Shifting for program dates

    Users can now update the start and end dates of sub-programs, with alerts ensuring informed decisions.

    • For past dates, a confirmation alert will allow users to adjust services or retain the original dates.

    • For future dates, users can choose to shift services to align with the new dates or keep them unchanged. If the end date is earlier than the start date, a warning alert will be shown.

    Sub-programs can be converted to main programs with clear options to either align project dates with the program or update program dates to match the project.

    Main program dates remain synchronized with project dates and cannot be edited directly.

    After making changes, users must rebuild the offer to reflect updates in the finance area.

  4. Copy to the program of a project

    Users can copy a program to another project and choose from a list of active programs within that project, with the main program listed first, followed by other active programs. If no program is selected from the list, the system will default to creating a new program in the selected project. Services will be updated based on the start dates of the selected program. The functionality to search projects by project number or name has also been added, and only active programs will be listed. All other copying behaviors remain unchanged.

Users can now select a service or package and, upon clicking "Copy to Project," will be prompted to enter a valid project number. After project validation, active programs within the selected project will be displayed.

6.Project Report

The report will now display the total sum of values for all active programs in both the overview and the export. The columns for Total Cost, Total Sell, Total Profit, and % Profit will be updated accurately to reflect the totals across all project statuses.

7.Program Template

A new "Programs" tab has been added to the Settings > Template section in Meetingbox. This tab, located between the "Presentation" and "Projects" tabs, allows users to view all programs saved as templates. Each entry will display the program's name, as entered when the program was saved as a template, along with the project name where the program was saved. Users can click on either the program name or the project name to be redirected directly to the relevant program within the associated project.

8.History

A new "History" tab has been introduced in the Edit Program section to log of all changes made to a program. The history will capture changes across various fields, including Program Name, Status, Category, Pax, VAT (TOMS), Destination, Destination Notes, TOMS Program Checkbox, Start Date, End Date, Markup%, Calculate Client Markup On?, and Description.

Project Handling

1.All contacts as default filter

When accessing the Staff Reports and applying filters, the "All Contacts" filter will now be pre-selected by default across all related sub-reports, including the Business Utilization Report, Project Overview, Holiday Report, User logs, and Exceptions. This update ensures consistency and saves time by eliminating the need to manually select the filter for each sub-report.

MEA Enhancements

1. Display Name on Hover for Admin Features

Admins can now see feature names on hover in the content section, addressing difficulties in identifying features by icons alone.

This enhancement simplifies feature identification, speeding up configuration and reducing confusion.

2. Improved Feature Selection in Admin Backend

Admins can now select features by clicking anywhere within the feature box, not just the icon, in the content section of the backend.

This enhancement simplifies the selection process, making it more intuitive and user-friendly.

3. Customisation of Event Code

The new “Custom Event Code” functionality allows admins to customize event codes based on customer-specific requirements.

This feature gives admins greater control over event codes while ensuring uniqueness and consistency.

4. Private Chat Notifications

Mobile app users will now receive notifications for private chats when they are not actively using the event app. This enhancement ensures users stay updated with private chats even when outside the app, providing a seamless communication experience.

Note: All these changes will be seen for MEA-enabled instances.
